About the position

The Office & Records Specialist plays a crucial role in supporting administrative services, human resources, and communication with member entities and the public. This position involves managing records, responding to information requests, and performing various administrative tasks under the supervision of the Deputy Director of Administration and Finance.

Responsibilities

  • Processes incoming subpoenas, GRAMA requests, and recording requests for police and fire agencies, media outlets, or the public.
  • Creates, maintains, and manages administrative files, ensuring proper sorting, labeling, and filing of documents.
  • Serves as backup on incoming telephone lines, screening and transferring calls to appropriate staff members.
  • Manages website content to ensure current and relevant information is available for the public.
  • Performs general human resource responsibilities as needed.
  • Acts as a liaison between the public and member agencies, answering inquiries regarding general information and Center operations.
  • Serves as backup for answering incoming/outgoing Center mail and distribution to appropriate individuals.
  • Prepares monthly calendar for administrative staff distribution.
  • Produces final copies of reports, correspondence, and memoranda, reviewing drafts for accuracy and making corrections as needed.
  • Maintains and updates resource materials related to employees and departmental programs.
  • Assists human resources with the Health and Wellness program.
  • Operates modern office equipment to enter and retrieve data and produce documents.

Requirements

  • High School diploma or equivalent.
  • Two years prior experience in job-related administrative services or business-related activities.
  • Strong interpersonal skills and ability to establish effective working relationships with co-workers and the public.
  • Excellent writing skills, including spelling and grammar proficiency.
  • High level of proficiency in Microsoft Office software applications.

Nice-to-haves

  • Knowledge of the Utah Government Access and Management Act and associated document/file retention rules.
  • Ability to perform light physical duties and move around from location to location.
