About the position

The Office Assistant 1 position at the New York State Department of Transportation (Region 10) involves a variety of clerical and administrative tasks. The candidate will primarily work in Residency 05 (Melville) and assist Bridge Maintenance (Babylon) as needed. The role may also require assignments to the Regional Maintenance Office (Hauppauge) on a part-time or full-time basis. The incumbent will perform duties consistent with the Civil Service Classification Standard for this title, including maintaining inventory, sorting mail, data entry, and providing assistance to the Transportation Office Assistant 2 in various administrative activities. Responsibilities may also include financial record keeping, scheduling appointments, and compiling data for reports. The position may require participation in the Incident Command System to support emergency situations.

Responsibilities

  • Read, understand, and apply procedures, rules, regulations, and laws.
  • Maintain Residency inventory (office supplies, toners, paper, etc.).
  • Sort and distribute mail.
  • Perform data entry for various databases (SFS, MMS, HRIS, etc.).
  • Answer telephones and respond to inquiries from employees, vendors, and customers.
  • Assist in the administration of the Residency program, including hiring, purchasing, and training activities.
  • Track and enter TRINFO data.
  • Enter Travel Vouchers for employees.
  • Review employee time in MMS for accuracy and send approved records to the Time and Attendance system.
  • Create spreadsheets and perform calculations as needed.
  • Reconcile purchase card charges and confirm receipt of goods and services.
  • Schedule appointments and meetings.
  • Gather and compile data for reports, graphs, charts, and tables.
  • Maintain, update, and correct records and files.

  • Candidates must meet the open competitive minimum qualifications for this position.
