The Office Assistant in the Family Medicine department supports the clinic, department, or program in an administrative capacity. This role involves performing various clerical duties under supervision, within well-established guidelines and practical knowledge gained from experience. The Office Assistant greets patients or visitors, answers, screens, and routes telephone calls, files, distributes mail, and performs other general clerical duties. Additionally, the assistant may provide assistance with programs or software for providers, assemble and maintain patient charts, and manage office inventory, including ordering supplies. The role requires effective communication with patients, families, physicians, and other healthcare team members about patient care according to protocol. The Office Assistant must work in a constant state of alertness and safe manner, performing other duties as assigned.

Responsibilities

  • Greets patients or visitors and answers/screens/routes telephone calls.
  • Files, distributes mail, and performs other general clerical duties.
  • Provides assistance with programs/software for Providers.
  • Assembles and maintains patient charts.
  • Makes copies, answers phones, makes appointments, and maintains records.
  • Maintains office inventory including ordering supplies.
  • Ensures that office equipment is in good working order and requests repairs or maintenance as needed.
  • Communicates with patients, families, physicians, and other healthcare team members about patient care according to protocol.
  • Works in a constant state of alertness and safe manner.
  • Performs other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Two years of experience in an administrative role.
