About the position

The Office Assistant I-II position at Columbia Medical Practice is responsible for supporting clinical operations by assisting providers and staff in a variety of administrative tasks. This role involves direct interaction with patients, managing phone communications, and maintaining the organization of the office environment. The position requires flexibility in scheduling, including evening and weekend hours, and aims to promote quality and efficient operations within the practice.

Responsibilities

  • Greet patients in a welcoming and helpful manner.
  • Provide information and direct patients according to CMP policies.
  • Monitor and reconcile work queues for the Pediatric Department.
  • Handle prescription and test results pick-up.
  • Refer medical record requests to Clinical Operations.
  • Maintain office supplies and cleanliness in the waiting area.
  • Master basic functions of the Avaya phone system.
  • Answer phones promptly and politely, scheduling patient outreach as assigned.
  • Schedule, move, and cancel appointments as needed.
  • Handle various medical records and forms, ensuring compliance with procedures.
  • Notify patients about the patient portal and assist with account setup.
  • Process credit card payments as needed.
  • Maintain a clean and organized work area and ensure compliance with OSHA regulations.

Requirements

  • High school diploma or GED; advanced training in Technical or Vocational school preferred.
  • Minimum 1 year experience with patient registration and insurance verification; 2 years preferred.
  • Knowledge of medical terminology and ability to read and write documentation.
  • Computer literacy on PC and internet research tools.
  • Excellent verbal skills for managing high volume phone calls.
  • Basic knowledge of medical insurance and OSHA guidelines.
  • Strong commitment to quality customer service and interpersonal skills.
  • Organized work habits with attention to detail and ability to multitask.
  • Problem-solving skills and sound judgment in decision making.
  • Professional image and flexibility to meet company needs.
