About the position

The Office Assistant II position involves performing clerical and receptionist duties within the Judicial Branch, focusing on data entry, document preparation, and processing. The role requires a blend of customer service and administrative skills to support the operations of the court and office, ensuring accurate and timely handling of various tasks while maintaining confidentiality and professionalism.

Responsibilities

  • Performs receptionist duties, including greeting visitors, answering phones, and providing information.
  • Collects, organizes, verifies, and enters a variety of data; may monitor status of youth/cases if in a Youth Court.
  • Indexes and files correspondence, reports, records, and other materials according to predetermined classifications.
  • Prepares a variety of date-sensitive forms, records, correspondence, and court documents from notes or dictation; proofreads documents and makes revisions.
  • Schedules appointments and meetings; maintains calendars and prepares necessary agendas and materials.
  • Receives, receipts, and records payments; prepares and verifies deposits and maintains account records.
  • Sorts and distributes mail; assembles and distributes mailings; orders and maintains stock of forms and office supplies.
  • Supervises urinalysis tests and processes samples for testing.
  • Prioritizes work based on deadlines and assists in implementing improvements in office policies and procedures.
  • Maintains vehicles and information related to maintenance of vehicles.

Requirements

  • Graduation from an approved high school or vocational school supplemented by completion of approved college-level coursework in secretarial sciences, business, or a related field.
  • Office support or clerical experience.

Nice-to-haves

  • Knowledge of computerized office programs.
  • Some knowledge of basic bookkeeping practices and procedures.
