The Office Assistant III position at Craven County Government is primarily focused on supporting the Child Protective Services (CPS) division by setting up files for new CPS reports. This role is supervised by the Administrative Services Assistant in the Child and Family Services Division. The essential functions of this position include maintaining information and records related to the setup of new CPS reports, which involves a variety of administrative tasks that are crucial for the effective operation of the department. One of the key responsibilities is to retrieve files from the file room if there has been a previous report. The employee will be responsible for entering case information into the CPS Intake log, preparing necessary documentation such as the 5027 form for Social Workers, and typing requests for letters and the 5-day letter. Additionally, the role involves conducting criminal checks and running Accurint checks on individuals associated with the cases, as well as maintaining various folders on the server to ensure that all information is organized and accessible. The Office Assistant III must ensure that time-sensitive correspondence is processed within specified timeframes, which is critical in the context of child protective services. The employee will also assist the Adult Protective Services Unit with Accurint checks as needed. Documenting RNTs, typing case decision letters, and keeping track of the RIL spreadsheet are also part of the responsibilities. Furthermore, the position requires attendance at the Quarterly Community Child Protection Team/Child Fatality Meetings, where the employee will take minutes to document discussions and decisions made during these meetings. The employee will utilize the CPS numerical/chronological filing system to manage files related to CPS records, investigations, assessments, and services rendered. It is essential that all typed and computer-generated files are scrutinized for accuracy by the employee or the assigned supervisor. Once certified, the employee will also notarize documents for the department as needed, which involves regular contact with individuals outside the agency. Due to the sensitive nature of CPS cases, the information shared by this position is typically confidential and limited to individuals within the Child and Family Services Program area. The employee will prioritize work assignments using agency manuals, a job-specific manual, and direct input from agency staff. Additionally, this position may require assisting in disaster relief efforts, including shelter duty during emergencies, which is considered an essential function of the role. The employee may also perform other duties as assigned by higher-level administrative staff.
