About the position

We are seeking a highly organized and proactive Office Assistant/Social Media Manager for our massage therapy and skin care business located at 269 Wickenden Street, Providence, RI. This part-time position is essential for overseeing the day-to-day operations of our office, ensuring efficiency and effectiveness in all administrative tasks. The ideal candidate will possess strong organizational skills, excellent communication abilities, exceptional customer service skills, the ability to multitask, and a keen eye for detail. The role requires availability on weekends, specifically Friday, Saturday, and Sunday, with time and a half pay on Sundays. The Office Assistant/Social Media Manager will be responsible for a variety of tasks including scheduling appointments, conducting clerical duties such as data entry, filing, and correspondence, and monitoring and managing office supplies inventory. Providing exceptional customer service in the studio, over the phone, and via email is a key aspect of this role. The candidate will also be responsible for opening and closing the studio, processing payment transactions, maintaining the office appearance and cleanliness, and handling laundry duties. Additionally, the role includes content creation for social media platforms and returning messages, as well as creating marketing email blasts to promote our services. This position is ideal for someone with proven experience in office management or a similar role, who is proficient in all social media platforms and email creation software. Strong time management and multitasking skills are essential, along with the ability to prioritize tasks and meet deadlines effectively. Experience in the health and wellness field is a plus, as is a strong commitment to providing impeccable customer service.

Responsibilities

  • Schedule appointments
  • Conduct clerical duties such as data entry, filing, and correspondence
  • Monitor and manage office supplies inventory
  • Provide exceptional customer service in studio, over the phone and via email
  • Open studio and prepare for the day ahead
  • Close studio and ensure all equipment and lights are turned off and doors are locked
  • Process payment transactions and balance cash drawer
  • Maintain office appearance and cleanliness including cleaning, dusting and organizing common areas, restroom, treatment rooms and break room, cleaning equipment and emptying trash
  • Wash, fold and put away laundry
  • Content creation for social media platforms and returning messages
  • Create marketing email blasts

Requirements

  • Proven experience in office management or a similar role
  • Strong proficiency in all social media platforms and email creation software
  • Excellent time management and multitasking skills
  • Prior experience in the health and wellness field is a plus
