About the position

We are seeking a detail-oriented and proactive Office Assistant to ensure the smooth operation of our office environment. This part-time role requires strong organizational skills, effective communication abilities, and a commitment to providing excellent support to both staff and clients. Proficiency in Google Suite and experience in front desk operations are highly valued.

Responsibilities

  • Manage front desk operations, including greeting visitors and handling inquiries with professionalism.
  • Maintain organized filing systems and assist with document management.
  • Schedule appointments and manage calendars for team members effectively.
  • Handle phone calls with appropriate phone etiquette, addressing client needs and directing calls as necessary.
  • Assist with office management tasks, including ordering supplies and maintaining inventory levels.
  • Support various administrative tasks as required, ensuring timely completion of projects.
  • Communicate effectively with team members and clients, including providing assistance in Spanish when needed.

Requirements

  • Previous experience as an office clerk or receptionist is preferred but not mandatory.
  • Strong organizational skills with the ability to manage multiple tasks efficiently.
  • Excellent time management skills to prioritize responsibilities effectively.
  • Proficiency in Google Suite applications (Docs, Sheets, Calendar).
  • Familiarity with calendar management and scheduling tools.
  • Strong phone etiquette and interpersonal communication skills.
  • Ability to work independently as well as part of a team in a fast-paced environment.

Nice-to-haves

  • Bilingual in Spanish is a plus but not required.
