About the position

We are seeking a detail-oriented office assistant for our Interior Design firm. The ideal candidate is a self-starter with the ability to problem-solve. This part-time role involves various administrative tasks including data entry for client orders, monitoring purchases, reconciling with design software, and light personal assistant work.

Responsibilities

  • Pick-up mail
  • Make deposits as necessary
  • Manage all client deposits and record
  • Reconcile client purchases as orders are placed and ensure they match our design software
  • Ensure clients are properly invoiced
  • Update QuickBooks including categorizing checks & transfers, adding transfers & billing invoices
  • Monthly bill pay
  • Filing
  • Reconciling client deposits
  • Printing, reviewing, and reconciling monthly bank statements
  • File bank statements
  • Entering purchases into software
  • Bringing garbage to dump weekly
  • Maintaining all office supplies - ordering as needed
  • Shopping monthly for beverages, etc. for office
  • Processing returns & mail
  • Running errands as needed
  • Organizing client photo albums
  • Greeting and welcoming clients as they come in office
  • Completing tax forms as needed

Requirements

  • Office assistant experience preferred
  • Knowledge of QuickBooks a plus
  • Knowledge of Apple products and software, Excel, Google Drive required
  • Excellent communication skills for effective collaboration with clients and team members
  • Experience in clerical tasks related to office management is a plus
  • A background in customer support or front desk operations

  • Proficient in Microsoft Office Suite
  • Skilled in proofreading and attention to detail
  • Strong organizational and time management skills
  • Excellent communication and customer support abilities
  • Familiarity with calendar management
