The City of American Canyon is seeking a responsible and detail-oriented Office Assistant to perform a variety of general clerical tasks in support of various City departments. This part-time, temporary position involves providing customer service, assisting staff and the public, and managing clerical duties such as data entry, filing, and processing applications. The role is limited to 980 hours per fiscal year and offers 40 hours of sick leave annually, but no additional benefits.

  • Act as a receptionist and respond to requests for information from staff and the public in person or by phone.
  • Assist in the registration of participants in City-sponsored programs.
  • Issue, receive, type, and process various applications, reports, permits, licenses, and other forms.
  • Collect and process fees and charges.
  • Type, enter, record, proofread, and process a variety of documents including correspondence, reports, and memos.
  • Perform various clerical duties on a computer, including data entry and running computer reports.
  • Maintain a variety of statistical records and prepare routine statistical reports.
  • Sort, file, copy, verify, and record information on records, and send notices when necessary.
  • Schedule appointments as assigned.
  • Receive, sort, and distribute incoming and outgoing mail; may order office supplies.
  • High School diploma, GED, or equivalent.
  • Some clerical experience is highly desirable.
  • Ability to type at a speed of 40 words per minute (net) from clear printed copy.
  • Knowledge of principles and procedures of filing and record keeping.
  • Fluency in proper English usage, spelling, grammar, and punctuation.
  • Ability to operate advanced functions of office equipment and standard software.
  • Ability to meet schedules and timelines.
  • Ability to maintain records and databases and generate reports.
  • Excellent verbal and written communication skills.
  • Ability to establish and maintain effective working relationships.
  • Experience in customer service.
  • Familiarity with modern office procedures and equipment.
  • 40 hours of sick leave per calendar year.
