About the position

The Office Assistant position at the Office of the Secretary of State (OSOS) involves providing customer service and clerical support within the Washington State Library. This role is essential for ensuring smooth operations in the library, assisting visitors, and supporting library staff with various projects. The position is a project role funded through June 30, 2025, and emphasizes the importance of integrity, service excellence, and teamwork.

Responsibilities

  • Act as the building receptionist and manage the main building phone line.
  • Greet visitors, assess their needs, and refer them to appropriate staff or organizations.
  • Respond to basic customer inquiries regarding library services and policies.
  • Perform basic circulation functions such as library card registration and item check-in/check-out.
  • Maintain a safe and organized lobby area.
  • Assist other Library staff with projects involving data entry and collection materials.
  • Regularly review the Library website for accuracy and currency of information.

Requirements

  • One year of experience performing routine clerical duties such as opening mail, typing, data entry, or file management.
  • Ability to read and effectively communicate in English, both verbally and in writing.
  • Proficiency in using a personal computer and applicable software.

Nice-to-haves

  • Experience providing customer service to the public (preferably at least 1 year).
  • Experience using a multi-line phone system (preferably at least 1 year).
  • Experience managing and organizing multiple assignments with frequent interruptions.
  • Experience documenting or updating information to maintain accurate records.
  • High competency in spelling, grammar, punctuation, and proofreading.
  • Strong attention to detail and accuracy.
  • Experience working in a library.
