About the position

The Office Billing Specialist plays a crucial role in managing the billing and collection processes for a remediation and restoration company. This position focuses on generating invoices, collecting payments, and providing excellent customer service while maintaining accurate documentation in the company's CRM system. The specialist will engage with clients to explain invoices and resolve any billing issues, ensuring timely and accurate processing of accounts receivable.

Responsibilities

  • Perform billing and collection functions of accounts receivables to ensure timely and accurate processing.
  • Contact clients to collect on invoices while providing a breakdown/explanation of the invoice line items.
  • Prepare checks in QuickBooks.
  • Respond to and resolve clients' billing issues and questions.
  • Maintain notes and documentation in CRM on clients' files for all accounting-related information.
  • Complete documentation needed for check processing and various authorizations.
  • Scan, label, and upload documents into CRM related to accounting matters.
  • Follow up with clients on past due invoices.
  • Prepare and mail out disbursements and payments.
  • Monitor and answer incoming calls and emails for the accounting department.
  • Perform filing, scanning, copying, and other related clerical duties.
  • Maintain insurance policies and vehicle files and renewal tracking as well as professional licenses and contracts.
  • Work with vendors who render services to the operations of the company.
  • Perform other duties as needed and/or assigned.

Requirements

  • High School Diploma or GED required.
  • Associate degree is a plus.
  • Prior experience in accounting services or a related field necessary.
  • Working knowledge of QuickBooks is essential.
  • Extremely accurate with high attention to detail is a MUST.
  • Outstanding written and verbal communication skills.
  • Excellent organizational skills and ability to follow through on tasks.
  • Willingness to assist when needed.
  • Ability to build relationships with clients and internal departments.
  • Must be able to multitask.
  • Strong working knowledge of Microsoft Suite (Excel, Word, etc.).
  • Dependable, prompt, and professional.
  • Must have own reliable vehicle.
  • Must speak and write English and Spanish fluently.
  • Authorized to work in the US.

Nice-to-haves

  • Experience in customer service for at least 1 year is required.
  • Proficiency in Microsoft Word and Excel for at least 2 years is preferred.
