About the position

The Office & Billing Assistant at 1WorldSync is a customer service-focused role designed to support the finance team and enhance the operational efficiency of the Dayton office. This position involves managing various administrative tasks, assisting with billing processes, and ensuring a welcoming environment for clients and staff. The role offers opportunities for growth within the company and requires a proactive approach to problem-solving and multitasking.

Responsibilities

  • Present a welcoming first contact to all clients, vendors, staff, etc. by phone, in person, and email.
  • Provide general meeting support including arranging, bookings/reservations, maintaining office space schedules, and securing food & supplies.
  • Oversee incoming and outgoing mail/packages, and provide shipping and receiving support.
  • Observe and report maintenance concerns in common spaces for appearance and functionality.
  • Track office and personal protective equipment (PPE) supplies, and place additional orders as needed.
  • Assist with mailings, meeting support, and catering as needed.
  • Assist with planning and executing social events in the Dayton Office.
  • Print and provide itemized statements, bills, invoices, and other necessary billing documents, as requested by customers.
  • Use daily incoming cash reports from the bank to enter and apply payment, and reconcile deposits daily.
  • Collect and sort all invoice, credit, bill, and order statements.
  • Process credit card payments received via phone or email.
  • Contact customers to obtain, verify, and update account information when necessary.
  • Perform other related duties, as assigned.

Requirements

  • High school diploma or GED.
  • Associates degree preferred.
  • Excellent written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Ability to troubleshoot and problem solve.
  • Proficient in Microsoft Office Suite and Google Workspace.
  • A proactive, helpful, can-do attitude.
  • A proven ability to effectively multitask.
  • Prior experience working in a flexible dynamic work environment.
  • Neat, organized, able to work independently and interdependently, welcoming to the public.
  • Ability to respect budget specifications, honor expense systems and policies.
