About the position

The Office Clerk at the Academy of Creative Education plays a vital role in providing administrative support to various staff members, including the Director of School, Assistant Director, and teachers. This position involves a range of clerical duties, public relations, and assistance in fundraising activities, all aimed at ensuring smooth operations within the school environment. The Office Clerk is expected to maintain professionalism and courtesy while interacting with students, parents, and visitors.

Responsibilities

  • Composes, formats, types, edits and proofreads various types of general correspondence and documents.
  • Takes notes, transcribes, copies and distributes minutes for various meetings.
  • Collects, archives, inventories and maintains various types of reports and newsletters.
  • Types, edits, proofs and maintains the Campus Improvement Plan and Year End Report.
  • Develops and maintains a system for tracking Academy graduates.
  • Tracks, organizes and maintains weekly Student Attendance Call Sheets.
  • Maintains updated ACE historical timeline.
  • Provides clerical support to Advisory Corporate Council Officers and Members.
  • Schedules and sets up meeting locations.
  • Prepares agenda and handouts for meetings.
  • Sends out meeting notices and confirms attendance.
  • Orders, picks up and sets up food and beverage for meetings.
  • Assists with graduation ceremony and school functions.
  • Prepares courtesy copies of pertinent emails for the Director of School.
  • Creates and maintains email address books for quick delivery of information.
  • Collects, organizes and maintains current dropout statistics.
  • Answers and directs incoming calls; takes messages as needed.
  • Assists callers with directions to the school campus.
  • Greets and directs students, parents and campus visitors.
  • Assists with setting up, rescheduling or cancelling student/parent interviews.
  • Registers prospective students and visitors via NEISD Raptor system.
  • Prepares outgoing mail as necessary and shreds documents accordingly.
  • Creates mailing labels for bulk mailings and assists with various types of bulk mailing.
  • Organizes and maintains correspondence files.
  • Serves as web master and navigates the internet as required.
  • Delivers and/or picks up correspondence at Central Office.
  • Submits and follows-up on purchase orders and print requests.
  • Prepares name tags and sign-in sheets for meetings and events.
  • Updates and orders letterhead/stationery and envelopes.
  • Distributes mail/correspondence in faculty and staff mailboxes.
  • Organizes and maintains weekly ACE calendar for historical purposes.
  • Assists with special projects as directed by the Director of School.
  • Forwards emails to in-house faculty and support staff as necessary.
  • Cross-trains as backup for Data Processor/Registrar.
  • Maintains confidentiality of all information.
  • Reports to work on time every day.
  • Performs additional duties as assigned.

Requirements

  • High School Diploma or Equivalent.
  • Two years clerical experience, preferably in a public education environment.
  • Proficient in the use of computer for word processing, creating spreadsheets and databases.
  • Strong communication, organizational and writing skills.
  • Ability to work with frequent interruptions and perform several tasks simultaneously.
  • Valid Texas Driver's License with a driving record that meets the requirements of the District.

Nice-to-haves

  • Bilingual (English/Spanish) is a plus.
  • Strong initiative and follow-through skills.
