About the position

As an Office Clerk at ADESA New Jersey, you will play a crucial role in ensuring the smooth processing of vehicle titles, which is essential for the transferability of vehicles to buyers. Reporting directly to the Office Manager, your primary responsibility will be to handle incoming titles with efficiency and accuracy. This position requires a strong commitment to customer service, as you will be the first point of contact for dealer representatives and customers with title-related inquiries. You will be expected to maintain a professional demeanor, ensuring that all customers receive prompt and courteous attention. In addition to processing titles, you will also be responsible for resolving any title issues that may arise, notifying the Office Manager of any challenges that cannot be resolved independently. Your daily tasks will include verifying the accuracy of title documents, ensuring that all necessary paperwork is complete and correct. This involves comparing VIN numbers, checking odometer readings, and confirming the release of liens. You will also be responsible for filing titles appropriately and ensuring that they are delivered to the purchasing dealer in a timely manner. On auction days, you will pull reports and maintain updated notes on outstanding problem titles to ensure that issues are resolved promptly. Additionally, you will process payments for dealers, which includes counting checks and providing receipts. To succeed in this role, you must possess a solid understanding of DMV laws and regulations related to vehicle titles. You will be expected to practice and promote teamwork, setting a positive example for your colleagues. The position also requires you to respond to any incidents involving employees or customers, following proper procedures and reporting all incidents to the Manager. Overall, this role is vital to the operations of ADESA, contributing to the company's commitment to providing excellent service in the fast-paced auto auction industry.

Responsibilities

  • Ensure customers receive prompt, efficient, and courteous attention.
  • Notify Office Manager of any challenges with titles that cannot be resolved.
  • Handle incoming calls from dealer representatives regarding title issues or questions.
  • Maintain a professional appearance and orderly work environment.
  • Provide prompt and courteous service, greeting every customer as they enter.
  • Resolve customer complaints in a friendly manner and advise Office Manager of serious complaints.
  • Verify the accuracy of VIN numbers, odometer readings, and lien releases on titles.
  • Ensure titles are delivered to purchasing dealers and filed appropriately.
  • Pull reports, customer worksheets, and vehicle inventory at the end of auction days.
  • Keep updated notes on outstanding problem titles to assure timely resolution.
  • Process payments for dealers, including checks and money orders, and provide receipts.
  • Maintain knowledge of DMV laws and regulations related to vehicle titles.
  • Practice and promote teamwork at all times.
  • Respond to and follow proper procedures on employee and customer accidents or property damage.

Requirements

  • Must be at least eighteen (18) years of age.
  • Must possess a valid driver's license and be qualified to operate a motor vehicle.
  • Demonstrated ability to read, write, and communicate effectively in English.
  • Ability to physically operate vehicle equipment and tools.
