About the position

The Office Clerk at Tacoma Community College provides essential clerical support to students, faculty, and staff within the Division of Creative Arts, Literature, and Communication. This part-time role involves maintaining various processes, records, and reports, ensuring efficient operations in Building F1. The position emphasizes equity and inclusion, aligning with the college's mission to support a diverse educational community.

Responsibilities

  • Provide basic clerical support to the faculty in Building F1.
  • Answer inquiries at the front counter, on the telephone, and through department email from prospective students, current students, and other members of the campus community.
  • Schedule room reservations.
  • Perform routine filing, document creation, prepare spreadsheets, run reports, photocopy, fax, scan and proofread documents.
  • Organize and track office supply inventory and assist with preparing supply orders.
  • Oversee collection, organization, and distribution of the quarterly teaching schedules and office hours of F1 faculty.
  • Track faculty absences, notifying appropriate dean, department chair, and administrative assistant, and posting notices to inform students with directions from instructors.
  • Review faculty photocopy requests and process accordingly.
  • Screen and distribute incoming mail.
  • Maintain FERPA standards in all operations, ensuring confidentiality of student records.
  • Assist with maintaining chair annual schedules with tracking and collection of syllabi, textbooks, and contracts.
  • Perform other duties including special projects as directed.
  • Provide front desk coverage at the art gallery on a needed basis.
  • Provide support to the BEdA department on a needed basis.

Requirements

  • High School graduate or equivalent.
  • Experience working in a customer service role.
  • Intermediate experience with Microsoft Office applications.
