About the position

The Office Clerk II at Monroe Community College (MCC) plays a vital role in providing general office support and managing a variety of clerical activities and related tasks. This position is essential as it serves as the first point of contact for students, employers, and transfer college representatives, ensuring a welcoming and efficient environment. The Office Clerk II is expected to handle multiple tasks simultaneously while producing high-quality work with minimal supervision. This role involves greeting and triaging individuals in the reception area, answering phones, checking in students, and welcoming employers and college partners who arrive for on-campus recruiting events. Additionally, the clerk will be responsible for scheduling student appointments, coordinating on-campus recruiting events, entering information into databases, and responding to general inquiries. In addition to these primary functions, the Office Clerk II will support event planning for annual job, career, and transfer fairs, maintain office bulletin boards, and monitor multiple email inboxes to ensure timely responses. The position also requires significant data entry and database maintenance for office databases. The Office Clerk II collaborates with the Director of Career Services to prepare annual reports for submission to higher administration, ensuring that all documentation is accurate and submitted on time. This role is crucial in maintaining the operational efficiency of the Career Services department and supporting the overall mission of MCC to provide quality education and support to its diverse student body.

Responsibilities

  • Greet and triage students, employers, and college partners in the reception area.
  • Answer phones and check in students.
  • Welcome employers and college partners arriving for daily on-campus recruiting tables.
  • Schedule student appointments and on-campus recruiting events.
  • Enter information into calendar/database and respond to general questions.
  • Serve as the first point of contact for employers and college partners seeking to recruit students and graduates.
  • Schedule presentations for faculty annually.
  • Support event planning for annual job, career, and transfer fairs.
  • Maintain office bulletin boards.
  • Monitor multiple email inboxes and respond/triage emails.
  • Perform significant data entry and database maintenance for office databases.
  • Collaborate with the Director of Career Services to compose and prepare annual reports for submission to the Associate Vice President and Vice Presidents.
  • Perform additional duties as assigned by the director.

Requirements

  • Must currently hold the title of Office Clerk II or be reachable on the Civil Service Eligibility list titled Office Clerk II.
  • Graduation from high school or possession of an equivalency diploma.
  • Graduation with an Associate's degree or successful completion of at least sixty (60) credit hours from a college or university, or two (2) years paid full-time or its part-time equivalent office clerical or secretarial experience, or an equivalent combination of education and experience.
  • Must be a Monroe County Resident.

  • Ability to learn and use a variety of software including Handshake, Microsoft Word, Excel, Outlook, Degree Works, and BANNER.
  • Graduation from a regionally accredited or New York State college or university with an associate's degree in office technology or a closely related field.
  • Bilingual and able to read, write, and speak Spanish or other languages proficiently.
