About the position

The Office Clerk II position in the Marketing, Web, and Social Media department at Monroe Community College is a vital role that supports the delivery of various services within the department. This position involves providing general office support and managing a variety of project tracking activities related to multiple marketing campaigns conducted throughout the year. The Office Clerk II will be responsible for budget tracking, processing purchase orders, handling invoice payments, and managing projects with minimal supervision. In this role, the Office Clerk II will support budget management for all marketing campaigns, utilizing the BANNER system for requisition orders and ongoing budget monitoring. This includes managing check requests and invoice payments while collaborating with vendors and the Accounts Payable department. The clerk will also track all expenditures in the marketing budget document and maintain both electronic and paper records as necessary. Additionally, the Office Clerk II will assist in direct marketing efforts aimed at student recruitment, working closely with various departments to request mailing lists and ensuring that these lists are accurate and provided to vendors on time. The role also involves maintaining records of all direct mail projects and coordinating with the Graphic Design Specialist to ensure project timelines are met. The position requires collaboration with the Web Services Associate Director to assist in maintaining the college's website, making minor updates, and submitting technical requests as needed. The Office Clerk II will also be responsible for creating closed captioning for videos and coordinating photo and video shoots, which includes recruiting student and faculty models and managing logistics on the day of the shoot. General office duties such as scheduling meetings, taking notes, ordering supplies, and greeting visitors are also part of the responsibilities.

Responsibilities

  • Support budget management for all marketing campaigns using BANNER for requisition orders and ongoing budget monitoring.
  • Handle check requests and invoice payments while working with vendors and Accounts Payable.
  • Track all spending in the marketing budget document and maintain electronic and paper records.
  • Assist with direct marketing work for student recruitment by requesting mailing lists from various departments.
  • Work closely with the Graphic Design Specialist to ensure accurate mailing lists are provided to vendors.
  • Maintain records of all direct mail projects and ensure postage funds are available with MCC mail services.
  • Secure project estimates from vendors and provide estimates to purchasing as needed.
  • Assist with website maintenance by making minor updates and submitting technical requests for web updates.
  • Create closed captioning for MCC videos for YouTube and other digital formats as needed.
  • Coordinate photo and video shoots, including recruiting models and managing logistics.
  • Perform general office duties such as scheduling meetings, taking notes, ordering supplies, and greeting visitors.

Requirements

  • Must currently hold the title of Office Clerk II or be reachable on the Civil Service Eligibility list for Office Clerk II.
  • Graduation from high school or possession of an equivalency diploma, plus either an Associate's degree or at least sixty (60) credit hours from a college or university, or two (2) years of paid full-time or part-time equivalent office clerical or secretarial experience.
  • Must be a resident of Monroe County.
  • Degree must be from an accredited institution recognized by the U.S. Department of Education.

Nice-to-haves

  • Three years of office clerical or secretarial experience.
  • Experience using BANNER or another accounting system.
  • Experience with processing invoices.
  • Proficiency with Microsoft Office, especially Excel.
  • Bilingual and able to read, write, and speak Spanish or other languages proficiently.
