About the position

The Office Clerk for Nutrition Services plays a crucial role in supporting the daily operations of the Nutrition Services content area within the Harris County Department of Education. This position involves performing general administrative duties as a member of the program's administrative team, ensuring that all tasks are executed efficiently and effectively. The primary purpose of this role is to assist the Nutrition Services Manager and contribute to the overall success of the Nutrition Services team by maintaining various recordkeeping systems and providing high-level customer service to diverse populations. In this position, the Office Clerk will be responsible for developing and maintaining recordkeeping systems related to food service operations, meal reimbursement, and budget management. This includes submitting reports and documents in a timely manner to ensure compliance with the Child and Adult Care Food Program. The role also involves assisting with the monthly preparation and submission of meal reimbursement claims, ordering and inventorying materials for the program, and organizing routine work activities to support special projects. The Office Clerk will also assist in preparing for meetings and special events, such as Chef's Academy and Cook's Meeting, while maintaining confidentiality of sensitive information. This position requires strong written and verbal communication skills, proficiency in computer systems, and the ability to prioritize and meet multiple deadlines. The ideal candidate will have a background in administrative support, preferably with experience in Head Start food service operations, and should be bilingual in English and Spanish to effectively communicate with a diverse clientele.

Responsibilities

  • Provide administrative assistance to the Nutrition Services Manager and support the daily operations of the Nutrition Services team.
  • Develop and maintain various recordkeeping systems, including those for food service operations, meal reimbursement, monitoring, and printing and supply budgets.
  • Submit reports and documents in a timely manner, including those related to maintaining compliance with the Child and Adult Care Food Program.
  • Assist with monthly preparation and submission of the Child and Adult Care Food Program meal reimbursement claim.
  • Order and inventory materials for the program, including those related to food service operations and nutrition education.
  • Organize and manage routine work activities to support special projects, including scheduling interviews and appointments, assisting with contract and audit preparation, and communicating with clients and community partners.
  • Assist with preparation for meetings and special events, including Chef's Academy and Cook's Meeting.
  • Maintain confidentiality of information.
  • Perform other duties as assigned.

Requirements

  • High school diploma or GED certificate; some college preferred.
  • Minimum three years of experience providing administrative support.
  • Strong written and verbal communication skills.
  • Ability to interact with diverse populations.
  • Ability to consistently provide high level customer service.
  • Effective/efficient interpersonal, analytical, and problem-solving skills.
  • Proficiency with computer systems and software applications (database, spreadsheet, word processing, email, some desktop publishing).
  • Accurate note-taking skills.
  • Ability to maintain accurate and auditable records.
  • Ability to organize, prioritize, and meet multiple deadlines.
  • Experience with Head Start food service operations preferred.
  • Bilingual (English/Spanish) speaking and writing skills preferred.
