About the position

The Part-Time Office Clerk position is designed to support the Office Manager and administrative team in various clerical tasks within a school environment. This role involves handling phone communications, managing student records, and assisting with school events, ensuring smooth operations in the office while providing excellent service to parents and staff.

Responsibilities

  • Supporting the Office Manager and Admin team
  • Answering phones and taking messages for staff
  • Administering parent phone calls regarding absences, truancies, illnesses, and detentions
  • Supervising students during before school, after school, nutrition, and lunch periods
  • Administering first aid and prescription medications to students
  • Performing duties associated with student registration, enrollment, and withdrawals
  • Organizing and distributing parent communications
  • Collecting, organizing, and updating cumulative records and emergency cards
  • Organizing and attending school and student events, including dances and graduations
  • Providing translation assistance as needed
  • Tracking parent volunteer hours
  • Processing late and returning students
  • Maintaining and organizing a clean supply closet
  • Processing supply order requests from teachers and staff
  • Performing other tasks and projects as requested by the Office Manager, Principal(s), and Admin.

Requirements

  • Completion of high school or equivalent
  • Prior school office experience desired
  • Bilingual/Bi-literate (English-Spanish) preferred
  • Knowledge of office methods, practices, and procedures
  • Effective written and oral communication skills
  • Ability to maintain accurate and orderly records
  • Ability to develop and maintain effective working relationships
  • Typing speed sufficient to meet position requirements
  • Friendly and outgoing personality
  • Ability to multi-task and collaborate in a fast-paced environment
  • Proficient in Microsoft Office, including Word and Excel
  • Knowledge and familiarity with PowerSchool
  • TB Test clearance & Department of Justice fingerprinting clearance upon hire

Nice-to-haves

  • Experience in customer service
  • Knowledge of school cumulative files
