About the position

At Travel + Leisure Co., our mission is to put the world on vacation, and our Office Clerk plays a vital role in achieving this goal. This position is integral to our Guest Service/Marketing Department, where the selected candidate will provide general administrative support. Responsibilities include managing correspondence and communication, scheduling phone calls and meetings, preparing presentation materials, and handling special projects. The Office Clerk will also be responsible for filing invoices and other office documents, assisting Guest Services as needed, coding invoices, and managing vendor payments, which encompasses all accounts payable aspects. Additionally, the role involves ordering supplies such as coffee, tea, and hot chocolate, controlling inventory, and assisting with housekeeping scheduling and inventory management. The Office Clerk will also handle pre-arrival calls and emails, administer time-off requests, and coordinate information transfer between departments. Managing wine and food and beverage inventory, ordering service recovery items for Guest Services, and performing other duties as required are also part of the job. Proper office attire is expected at all times.

Responsibilities

  • Provide general administrative support including correspondence and communication.
  • Schedule phone calls and meetings, and prepare presentation materials.
  • File invoices and other office documents.
  • Assist Guest Services when needed.
  • Code invoices and manage vendor payments, including all accounts payable aspects.
  • Order coffee, tea, hot chocolate, and control inventory.
  • Assist with housekeeping scheduling and inventory management.
  • Handle pre-arrival calls and emails as needed.
  • Administer time-off requests and manage calendars for the Management Department.
  • Coordinate the transfer of information between departments when necessary.
  • Manage wine inventory and food and beverage inventory.
  • Order and stock service recovery items for Guest Services.
  • Help manage all inventory at the property.
  • Perform other duties as needed.

Requirements

  • 2+ years of office experience; hospitality resort services industry experience desirable.
  • Must have hospitality experience.
  • Preferred guest service background in resort operations.
  • High school diploma or equivalent; Associate degree preferred.
  • Basic typing and computer skills: Microsoft Word, Excel, PowerPoint, and Outlook.
