About The Position

The Office Clerk at Cherokee Indian Hospital Authority plays a crucial role in providing administrative support and customer service within the Tsali Care Center. The Office Clerk is responsible for maintaining confidentiality, assisting nursing staff, and ensuring that medical records are organized and protected.

Requirements

  • High school diploma or equivalent preferred.
  • Excellent verbal communication skills.
  • Excellent interpersonal and customer service skills.
  • Basic understanding of administrative and clerical procedures and systems.
  • Proficient with Microsoft Office Suite or related software.

Responsibilities

  • Greet clients, visitors, and guests; determine the purpose of each person's visit and direct or escort them to the appropriate location.
  • Answer, screen, and direct phone calls to staff; take messages and schedule appointments.
  • Receive mail, documents, packages, and courier deliveries and deliver or distribute items.
  • Perform administrative and clerical support tasks.
  • Perform basic filing and recordkeeping.
  • Exercise confidentiality at all times.
  • Order stock for Nursing Department & Housekeeping and put up stock when delivered.
  • Keep Central Supply fully stocked and count PPE, reporting weekly.
  • Fill out ERequester for all orders and send to the correct department manager.
  • Submit all facility invoices to Doclink (payables).
  • Count money with the bookkeeper that's kept on hand for residents and make daily deposits.
  • Assist with screening visitors and answering phones as a backup receptionist.
  • Input new residents' information in orbits to charge for supplies and set up automatic charges for residents.
  • Audit residents' charts and submit necessary information to the Administrator and department heads.
  • Make labels for all new residents and keep an up-to-date spreadsheet of supplies on hand.
  • Type and print monthly dietary menus.
  • Ensure medical record information is protected and kept confidential.
  • Review MD orders for signatures, fax to pharmacy, and ensure orders are in the QuickMar system.
  • Assist MDS Coordinator with filing care plans and assist with resident care as needed.
  • Monitor the level of nursing office supplies and restock as needed.
  • Comply with established safety procedures and Tribal Policy.
