About the position

The Office Clerk position at Mesquite Treatment Center is a part-time role designed for individuals who are bilingual and dependable. The successful candidate will work Monday to Friday from 8 a.m. to 4 p.m., providing essential clerical support to the organization. This role requires a fast learner with excellent presentation and communication skills, as the Office Clerk will be the first point of contact for clients and visitors. The position involves answering incoming telephone calls, determining the purpose of the calls, and forwarding them to the appropriate staff members. Additionally, the Office Clerk will greet clients warmly, provide them with necessary information, and assist them in filling out paperwork for intake and required registrations. The Office Clerk will also maintain employee directories, schedule client appointments, and manage appointment calendars. A critical aspect of this role is to ensure a safe and clean working environment while handling insurance verification, discharges, follow-ups, and referral tracking. The Office Clerk will contribute to the team effort by accomplishing related results as needed, demonstrating professionalism, customer focus, and strong organizational skills. The role requires the ability to coordinate mail flow, create and print correspondence, reports, and other documents, and perform various clerical duties such as filing and photocopying. The ideal candidate will prioritize and plan work activities efficiently, react well under pressure, and treat others with respect and consideration, regardless of their status or position.

Responsibilities

  • Answer incoming telephone calls, determine purpose of calls, and forward calls to appropriate staff professional.
  • Answer questions about the organization and provide callers with address, directions, and other basic information.
  • Greet clients warmly and notify appropriate personnel of client arrival.
  • Greet on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
  • Deliver information to others clearly and accurately.
  • Give instructions to clients on how to fill out paperwork for intake and required registrations.
  • Maintain employee directories; schedule client appointments, meetings and maintain/update appointment calendars.
  • Maintain a safe, clean working environment.
  • Handle insurance verification/authorization, discharges, follow-ups, and referral tracking.
  • Contribute to team effort by accomplishing related results as needed; verbal/written communication, listening, professionalism, customer focus, and organization.
  • Coordinate mail flow, in and out of office.
  • Look for ways to improve and promote quality; change approach or method to best fit the situation; able to deal with frequent changes, delays, or unexpected events.
  • Create and print correspondence, reports, and other documents as required; perform other clerical duties such as filing, photocopying, fax messages, and other duties as assigned.
  • Prioritize and plan work activities; use time efficiently; follow through on commitments.
  • React well under pressure; treat others with respect and consideration regardless of their status or position.
  • Perform miscellaneous duties as assigned.

Requirements

  • High School Diploma and/or GED required.
  • Prior experience working with the public required.
  • Knowledge of Microsoft Office is essential.
  • Clerical and customer service skills are necessary.
  • Excellent writing and communication skills are required.
  • Friendly and outgoing personality is preferred.
  • Ability to multi-task effectively is essential.
  • Ability to identify and resolve problems in a timely manner is necessary.
  • Demonstrates accuracy and thoroughness in work.

  • Adhere to strict confidentiality with a focus on sensitive material, HIPAA compliance.
