About the position

The Office Clerk at Cherokee Indian Hospital Authority is responsible for providing administrative support and excellent customer service to clients, visitors, and staff. This role involves greeting visitors, managing phone calls, handling mail and deliveries, maintaining records, and ensuring the smooth operation of the office environment. The Office Clerk plays a crucial role in facilitating communication and assisting with various clerical tasks to support the nursing department and overall administrative functions.

Responsibilities

  • Greets clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts them to the appropriate location.
  • Answers, screens, and directs phone calls to staff; takes messages and schedules appointments.
  • Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
  • Performs administrative and clerical support tasks.
  • Performs basic filing and recordkeeping.
  • Exercises confidentiality at all times.
  • Orders stock for Nursing Department & Housekeeping.
  • Puts up stock when truck delivers.
  • Keeps Central Supply fully stocked.
  • Counts PPE & reports to Evan weekly.
  • Fills out ERequester for all orders and sends to the correct department manager.
  • Submits all facility invoices to Doclink (payables).
  • Counts money with bookkeeper that's kept on hand for residents.
  • Makes daily deposits plus takes money for resident trust on room and board.
  • Backs up receptionist by helping with screening visitors and answering phones.
  • Inputs all new residents' information in orbits to charge for supplies.
  • Sets up all residents for automatic charges (example: diabetic supplies).
  • Audits residents' charts and submits to Administrator and department heads what is needed in the charts.
  • Makes labels for all new residents.
  • Keeps an up-to-date spreadsheet of supplies on hand.
  • Types and prints monthly dietary menus.
  • Assures medical record information is protected and kept confidential.
  • Reviews MD orders for signatures, faxes to pharmacy, reviews and ensures the orders are in the QuickMar system, and informs the hall nurse that the order is received.
  • Assists MDS Coordinator with filing care plans.
  • Assists with resident care as needed.
  • Greets visitors, makes necessary notifications, assists as needed to facilitate contact with appropriate persons and directs to specified office.
  • Answers central phone system, directs incoming calls, pages individuals, and takes/delivers messages as required.
  • Performs various clerical tasks in support of daily operations such as filing, typing, making copies, assembling notebooks, prepping packages for mailing, etc.
  • Assists nursing staff by keeping forms organized at the nurse's station, charts organized, and documentation forms on the charts.
  • Monitors level of nursing office supplies and restocks as needed.
  • Complies and types a variety of documents for the Nursing Department as requested.
  • Operates a variety of office equipment such as central phone systems, FAX, postage meter, copier, etc.
  • Maintains a neat and orderly work area.
  • Performs duties according to established safety procedures and Tribal Policy.
  • In the event of a local public health emergency, employee may be reassigned duties pertaining to the event.
  • Orders, receives, and organizes medical supplies; regularly sends supply information to Billing.
  • Tracks supply use by residents.
  • Performs other duties as requested.

Requirements

  • High school diploma or equivalent preferred.
  • Excellent verbal communication skills.
  • Excellent interpersonal and customer service skills.
  • Basic understanding of administrative and clerical procedures and systems.
  • Proficient with Microsoft Office Suite or related software.
