About the position

At Travel + Leisure Co., our mission is to put the world on vacation, and as an Office Clerk, you will play a vital role in supporting our Guest Service/Marketing Department. This position is essential for ensuring that our team delivers exceptional customer service and creates memorable vacation experiences for our guests. You will be responsible for providing general administrative support, which includes managing correspondence and communication, scheduling meetings, preparing presentation materials, and handling special projects. Your role will also involve filing invoices and other office documents, assisting Guest Services, and managing various inventories related to food, beverage, and service recovery items. In addition to administrative tasks, you will be involved in coding invoices, paying vendors, and creating vendor accounts, which encompasses all aspects of accounts payable. You will also assist with housekeeping scheduling and pre-arrival communications, ensuring that all necessary information is coordinated between departments. Your attention to detail will be crucial as you manage wine and food inventory, order supplies, and control stock levels. This position requires you to maintain a professional appearance and adhere to proper office attire at all times. The Office Clerk position is a full-time role that offers a starting pay rate of $20 per hour. Responsibilities

  • Provides general administrative support, including correspondence and communication.
  • Schedules meetings and prepares presentation materials.
  • Files invoices and other office documents.
  • Assists Guest Services when needed.
  • Codes invoices and pays vendors, including creating vendor accounts.
  • Orders coffee, tea, and other supplies, controlling inventory.
  • Assists with housekeeping scheduling, ordering, and inventory management.
  • Handles pre-arrival calls and emails as needed.
  • Administers and assists with Time Off requests and calendars for the Management Department.
  • Coordinates the transfer of information between departments when necessary.
  • Manages wine inventory and food and beverage inventory.
  • Orders and stocks service recovery items for Guest Services.
  • Performs other duties as needed.

Requirements

  • 2+ years of office experience; hospitality resort services industry experience is desirable.
  • Must have hospitality experience, preferably with a guest service background in resort operations.
  • High school diploma or equivalent; Associate degree preferred.
  • Basic typing and computer skills, including Microsoft Word, Excel, PowerPoint, and Outlook.
