About the position

We are seeking a dedicated and detail-oriented Office Clerk to join our team in Williamsport, Pennsylvania. This full-time position operates on a first shift schedule from 8:00 AM to 4:30 PM. The Office Clerk will play a crucial role in providing administrative support and ensuring smooth operations within the office. The ideal candidate will be responsible for a variety of tasks that include interacting with residents, managing paperwork, and maintaining records. This position is temp to perm, offering the opportunity for long-term employment based on performance and business needs. As an Office Clerk, you will be the first point of contact for residents at the walk-up window, where you will respond to inquiries, process payments, and distribute necessary forms and permits. You will also handle incoming phone calls, retrieve messages, and ensure timely follow-up on conversations. Your organizational skills will be essential as you manage various administrative tasks, including issuing and renewing brush cards, placing advertisements, and maintaining records related to Workman's Compensation and property registrations. In addition to these responsibilities, you will be tasked with tracking meeting and pavilion reservations, composing letters, processing incoming mail, and maintaining both electronic and physical filing systems. The role requires a proactive approach to ensure that all duties are completed efficiently and accurately, contributing to the overall effectiveness of the office operations.

Responsibilities

  • Receive all residents at the walk-up window promptly and respond to requests.
  • Take payments and issue receipts when necessary.
  • Distribute zoning forms, applications, and permits once issued.
  • Answer phone promptly, retrieve messages, and track conversations.
  • Issue, document, and renew brush cards.
  • Place ads and post news and events as directed.
  • Organize and file paperwork for bidding ads in the newspaper.
  • Maintain Workman's Compensation records and file appropriately.
  • Handle real estate registration of property maintenance.
  • Manage new business/mercantile privilege tax mail forms and track returns.
  • Fill out and collect highway occupancy permits, obtaining appropriate signatures for invoicing.
  • Maintain baseball lease agreements and track meeting and pavilion reservations.
  • Compose letters, mail, and file forms, including petty cash reconciliation.
  • Process incoming mail, date stamp received, and distribute to appropriate departments.
  • Create and maintain existing filing systems, both electronic and physical.
  • Perform all other duties as assigned.

Requirements

  • Must be able to relay information accurately and efficiently.
  • Highly personable with strong grammar and communication skills.
  • Strong organizational skills and ability to multi-task.
  • Ability to prioritize time-sensitive tasks.
  • High School diploma or equivalent required; formal post-HS training or an associate's degree in a related field preferred.
  • Minimum of 2 years of related experience required.
  • Computer skills including typing, familiarity with Microsoft Word and Excel, and knowledge of office equipment.
