About the position

Acumen Pharmaceuticals is seeking an Office Coordinator/Administrative Assistant in our Newton, MA location. Ideal candidates can work at least 30 hours each week. Reporting directly to the Executive Assistant, this role will be the primary facility and administrative contact for our Newton, MA office, and will ensure efficient day-to-day operations of this office space. In addition, this role will provide administrative support to management and members of their respective teams.

Responsibilities

  • Provides day-to-day administrative support at our Newton, MA office location to ensure the office environment is set up for employees to work efficiently and effectively; collaborates closely with other administrative support team members to support the needs of leadership and employees.
  • Greets scheduled visitors and directs them to appropriate area or person.
  • Manages incoming and outgoing Company mail to include maintaining process for mail distribution throughout the Company and outgoing mail through USPS, FedEx, and other shipping vendors.
  • Maintains centralized office services such as setting up and re-stocking office and kitchen supplies, office space access, maintenance, cleaning, catering, waste disposal and recycling.
  • Assists with and helps troubleshoot office technology needs and issues; collaborates with the IT team to address any office specific IT needs.
  • Provides day-to-day direct administrative support to management and members of their respective team(s), including but not limited to calendar management, expense reporting and processing, travel support, vendor collaboration, conference preparation and corporate event oversight.
  • Supports preparation for onsite office meetings and meetings in the Boston area.
  • Works with leadership, vendors and employees to maintain and ensure safe and compliant workspace that meets the needs of the organization.
  • Assists in corporate meeting planning, both on and off-site, to include travel arrangements.
  • Participates in initiatives and/or other activities as directed and may assist in ad-hoc projects across the organization.

Requirements

  • High School Diploma required; bachelor's degree preferred.
  • Demonstrated ability to work with little or no supervision, but with the good judgment to know when to involve others or ask for guidance.
  • Proficient in Microsoft Office including Word, Outlook, Excel, and PowerPoint.
  • Previous office management and administrative experience preferred.
