About the position

The Office Coordinator at Terrane Land Surveying plays a crucial role in ensuring the smooth operation of the front office. This position is responsible for managing front-desk activities, providing exceptional service to clients and team members, and supporting various administrative tasks. The ideal candidate will be detail-oriented, collaborative, and dedicated to maintaining an organized and welcoming office environment.

Responsibilities

  • Manage the front desk, greeting visitors warmly and coordinating access as necessary.
  • Handle incoming calls, ensuring prompt and professional call intake, transfers, and follow-up.
  • Maintain an office directory and employee contact list.
  • Facilitate courier, parcel, and mail deliveries.
  • Open and close the office promptly, 8am-5pm, Monday-Friday.
  • Keep common areas clean and well stocked.
  • Load and unload the dishwasher, assist with snacks, and keep office supplies inventoried and tidy.
  • Ensure printer, plotter, and postage machines are stocked and operational.
  • Participate in event and special project coordination (company meals, ROS hard copy requests, notarization, etc.).
  • Aid the Executives, Accounting, Research, and Business Development teams as requested, under the direction of the Business Administration Manager.
