As an Office Finance Accountant Administrator, you will play a crucial role in managing financial transactions and administrative operations, ensuring accuracy and compliance across various accounts and systems. You will be responsible for setting up escrow accounts, maintaining company payroll, overseeing multiple bank accounts, managing utility accounts, and performing bookkeeping duties. Your contributions will directly support our mission to inspire and support our clients and associates in reaching their full potential. In this role, you will manage escrow accounts for various transactions, ensuring timely and accurate processing of payments and disbursements. You will also process payroll accurately and efficiently for all employees, maintaining payroll records and ensuring compliance with state and federal tax regulations. Additionally, you will maintain accurate financial records using accounting software, reconcile accounts, and prepare financial reports for management review. Your oversight of multiple bank accounts will involve managing transactions, monitoring account balances, and resolving discrepancies. Furthermore, you will set up and maintain utility accounts, monitor usage and expenses, and coordinate with utility providers to resolve billing issues. Your office management skills will ensure the smooth running of all office functions, including managing office supplies and coordinating procedures.

Responsibilities

  • Set up and manage escrow accounts for various transactions.
  • Ensure timely and accurate processing of escrow payments and disbursements.
  • Coordinate with internal teams and external parties to facilitate escrow processes.
  • Process payroll accurately and efficiently for all employees.
  • Maintain payroll records and ensure compliance with state and federal tax regulations and company policies.
  • Handle inquiries and resolve payroll-related issues promptly.
  • Maintain accurate and up-to-date financial records using accounting software (QuickBooks).
  • Reconcile accounts, including bank statements, on a regular basis.
  • Prepare financial reports (daily account reports, profit reports, etc.) and summaries for management review.
  • Manage and reconcile transactions across multiple bank accounts including accounts payable and accounts receivable.
  • Monitor account balances and cash flow to ensure sufficient funds for operations.
  • Identify and resolve discrepancies in bank statements and transactions.
  • Set up and maintain utility accounts for the company and additional properties.
  • Monitor utility usage and expenses, seeking opportunities for optimization.
  • Coordinate with utility providers to resolve billing issues and ensure uninterrupted service.
  • Manage office activities and operations to ensure efficiency and compliance.
  • Coordinate office procedures and ensure smooth running of all office functions.
  • Manage office supplies inventory and place orders as needed.

Requirements

  • Bachelor's degree in Accounting, Finance, or a related field.
  • Proficiency in accounting software and Microsoft Excel, Google Drive, and QuickBooks.
  • Experience with accounting software like QuickBooks, Quicken, and Sage.
  • Proficiency in accounting principles such as GAAP, debits/credits, and journal entries.
  • Excellent analytical and problem-solving skills.
  • Ability to multitask and prioritize tasks effectively.
  • Exceptional attention to detail and accuracy.

Nice-to-haves

  • 2+ years of relevant experience.
