About the position

OnTrack Realty LLC is seeking a proactive and detail-oriented Office Manager/Administrator to support our thriving independent real estate brokerage in the Dallas-Fort Worth area. This full-time position is designed for an individual who can take initiative and solve problems independently while providing essential administrative support to our real estate agents. The role is remote, allowing for flexibility in hours, but candidates should expect to work between 30 to 45 hours per week, with the possibility of choosing their own hours from Monday to Friday, and weekends as needed. The Office Manager/Administrator will be responsible for managing communication with clients, ensuring that no inquiries are overlooked, and that agents respond promptly to client requests. This includes answering incoming calls, redirecting leads to schedule meetings via Calendly, and maintaining action plans for past clients and inactive leads to foster new transactions. The successful candidate will also monitor the agents' calendars and communications, ensuring quality control and organization within the Follow Up Boss CRM system. In addition to these responsibilities, the Office Manager/Administrator will train new agents on the use of Follow Up Boss, conduct research on new construction developments, and manage the OnTrack Realty Facebook group. This role requires a self-starter who can evaluate and improve processes without direct supervision, adapt to changing circumstances, and work well under pressure. The ideal candidate will possess strong interpersonal skills, a persuasive personality, and a commitment to the company's success.

Responsibilities

  • Answer the phone for incoming leads
  • Redirect new leads to Calendly to schedule their meeting
  • Create and keep track of action plans and communication with past clients
  • Monitor calendar and communication for agents, ensuring quality control
  • Ensure no communication with clients is dropped
  • Ensure agents provide information requested by clients in a timely manner
  • Keep track of client interests and general goings on within Follow Up Boss (CRM)
  • Create/organize tasks for agents based on calendar/client communication
  • Train new agents to use Follow Up Boss
  • Run the OnTrack Realty Facebook group
  • Schedule showings
  • Conduct new construction development research

Requirements

  • Must have both administrative and residential real estate experience
  • At least 2 years of office management/administrative experience
  • Experience with CRM software, particularly Follow Up Boss is preferred
  • Experience with residential new construction is a preference
  • Self-starter with proactive problem-solving skills
  • Ability to work well under pressure and adapt to changing situations
  • Detail-oriented and good with people
