About the position

The University of Southern Mississippi is seeking an Office Manager and Administrator to oversee and manage the daily operations and fiscal affairs of the School of Accountancy (SoA). This role is crucial in ensuring the smooth functioning of the department, which includes monitoring the departmental budget, awarding student scholarships through the Go System, and coordinating various events such as Meet the Firms, Advisory Board meetings, and student recruitment activities. The Office Manager will also be responsible for identifying operational issues and ensuring they are resolved effectively. Additionally, the position involves assisting with the maintenance of the SoA's social media presence and providing administrative support to the Director of the SoA, the Director of the Master of Professional Accountancy (MPA), and the faculty members. In this role, the Office Manager will coordinate a variety of events, assist in student recruitment efforts, and help develop marketing materials. They will also manage the SoA's budgets, prepare and submit payment forms, maintain inventory, and coordinate annual property audits. The position requires entering course schedules, managing textbook orders, and performing prerequisite checks for courses. The Office Manager will act as academic support for the SoA, which includes corresponding with prospective students, maintaining student files, and managing communications within the office. The role may also involve other duties as assigned, making it a dynamic and integral part of the School of Accountancy's operations.

Responsibilities

  • Coordinate SoA events such as Meet the Firms, Advisory Board meetings, student club meetings, and high school and transfer student recruiting events.
  • Assist the Director of the SoA and the MPA Director with student recruitment and development of marketing materials.
  • Assist with the development and posting of content for the SoA's social media outlets and monitor posts.
  • Maintain SoA budgets and spending requests for university and Foundation funds, and prepare various forms for payment of expenses.
  • Enter course schedules and textbook orders, and perform course prerequisite checks.
  • Award accounting scholarships in the Go System and manage Graduate Assistant work schedules.
  • Act as academic support for the SoA, including corresponding with prospective students and maintaining student files.
  • Manage SoA calls, emails, mail distribution, and office visitors.

Requirements

  • Associate's degree from an accredited college or university.
  • Two (2) years of experience related to the described duties.
  • Excellent communication skills.
  • Familiarity with relevant technology, software, and applications, including Microsoft Office Suite (especially Word and Excel) and 360 tools.
  • Proficiency with office management technology, software, and applications.
  • Effective written communication skills, including the ability to write routine reports.
  • Effective interpersonal and organizational skills.
  • A willingness to take initiative, adaptability to changes, and creative problem-solving skills.

Nice-to-haves

  • Knowledge and experience in accounting and budgeting in a complex organization.
  • Experience managing and monitoring social media posts for an organization.
  • Familiarity with varied forms of software and technology such as Excel, PeopleSoft, and Ad Astra.
