About the position

Formation Bio is a tech and AI driven pharma company focused on radically more efficient drug development. We are seeking an organized Office and Events Associate to support our workplace operations and maintain our company culture. In this role, you will manage office facilities, coordinate events, and ensure smooth daily operations. The ideal candidate will have strong organizational abilities and problem-solving skills, and will be expected to maintain the office environment, coordinate company events, and provide operational support during office hours. The position requires on-site presence during designated hours, with flexibility for additional company initiatives and events.

Responsibilities

  • Maintain immaculate office spaces and common areas through daily monitoring and hands-on upkeep.
  • Build and maintain strong relationships with building management, security, and facilities teams.
  • Coordinate building maintenance requests, access cards, and daily employee requests.
  • Plan and coordinate daily catered lunches, including dietary restriction management and vendor relationships.
  • Manage comprehensive snack and beverage program, ensuring variety and freshness.
  • Implement and maintain detailed organizational systems for office supplies, storage, and shared spaces.
  • Support the planning and execution of company events and employee programs.
  • Monitor and maintain pristine meeting spaces, ensuring readiness for daily use.
  • Track and maintain detailed records for meals, supplies, and event budgets.
  • Partner with internal stakeholders to enhance the workplace experience.

Requirements

  • 3-5 years of progressive office management experience.
  • Experience managing building relationships and facilities coordination.
  • Strong attention to detail and commitment to workplace excellence.
  • Proven experience in meal planning and catering coordination.
  • Ability to physically maintain office spaces (including lifting up to 25 pounds).
  • Experience managing vendors and maintaining quality control.
  • Exceptional organizational and time management skills.
  • Creative problem-solver with strong initiative.
  • Strong cross-functional communication abilities.
  • Experience supporting a hybrid work environment.
  • Bachelor's degree preferred.
