About the position

Stacy and Witbeck is seeking a proactive mid-to-senior level Office Manager and Training Center Coordinator to manage their Regional Salt Lake City Office. The ideal candidate will have experience in a fast-paced corporate environment, handling reception duties, office management, and event planning. This role is perfect for self-starters who thrive in busy office settings and enjoy collaborating with various departments.

Responsibilities

  • Manage reception duties including answering and routing phone calls and taking messages.
  • Maintain kitchen cleanliness and stock pantry items.
  • Distribute mail and manage package sending/receiving.
  • Order office and kitchen supplies as needed.
  • Ensure conference rooms and shared workspaces are tidy and stocked with supplies.
  • Assist HR with inventory management and shipping new hire packages.
  • Decorate the office for holidays and manage office key fob access.
  • Code office invoices and process payments.
  • Maintain business licensing and local association memberships.
  • Coordinate with IT for equipment needs in shared spaces.
  • Reserve conference rooms and assist with event configuration and logistics.
  • Manage vendor relationships for training and corporate events.
  • Assist with hotel arrangements for guests and planning the Annual Holiday Party.
  • Maintain office equipment and manage facility vendors for maintenance services.
  • Conduct regular inspections of the office and report any issues.

Requirements

  • 5+ years of administrative experience
  • High school diploma or GED
  • Experience in a construction/contracting environment preferred
  • Proficient in Microsoft Office Suite including Teams, Word, Excel, and Outlook
  • Familiarity with Vista/Viewpoint, Adobe, or Bluebeam
  • Strong analytical and problem-solving skills
  • Excellent organizational and time-management skills
  • Effective verbal and written communication skills
  • Ability to multi-task and prioritize tasks in a fast-paced environment
  • Valid Driver's License preferred
