About the position

The Office Manager for Bucks Health & Wellness plays a crucial role in ensuring the smooth daily operations of a holistic medical program focused on obesity management in underserved communities. This multifaceted position involves balancing administrative responsibilities with patient care, managing staff schedules, and supporting program leadership to enhance the overall client experience and operational efficiency.

Responsibilities

  • Greet clients warmly, handle check-in/check-out processes, and address inquiries with professionalism and compassion.
  • Coordinate appointment schedules to optimize provider availability, reduce wait times, and maintain an efficient workflow.
  • Oversee support staff schedules, including tracking work hours, managing PTO requests, and documenting sick days to ensure adequate coverage.
  • Maintain up-to-date provider schedules, adjust for changes as needed, and proactively manage scheduling conflicts to optimize clinic operations.
  • Ensure HIPAA compliance, manage inventory, maintain a tidy front desk and lobby area, and handle general office functions that support a seamless patient experience.
  • Process basic billing, assist with insurance verifications, and respond to client inquiries regarding payment and billing.
  • Work closely with the Medical Director and Program Director to align daily operations with program goals, communicate staffing needs, and support practice initiatives.
  • Maintain accurate records in the EHR, track operational metrics, and report key updates to leadership to support data-driven decisions.
  • Support outreach initiatives to expand reach and reputation of the program.

  • Previous experience in a medical or wellness practice or hospitality, with strengths in both administrative support and team management.
  • Strong organizational and multitasking skills, with the ability to prioritize responsibilities and anticipate operational needs.
  • Excellent interpersonal skills, with a warm and professional demeanor that fosters a positive, client-centered environment.
  • Proficiency with EHR systems, scheduling software, and knowledge of basic billing procedures.
  • Experience with tracking time and attendance, managing PTO and sick leave, and providing administrative support to directors.
