About the position

The Office Manager for Madison County Government serves as the administrative secretary to the Chief County Assessor, providing management assistance and overseeing various administrative tasks. This role involves budget preparation, assessment calculations, and maintaining records, ensuring efficient office operations and support for the Chief County Assessor's functions.

Responsibilities

  • Provides management assistance and serves as administrative secretary to the Chief County Assessor.
  • Calculates special use assessments.
  • Assists in preparing departmental budget and reconciles budget on a monthly basis.
  • Prepares office bills and submits them to auditor daily.
  • Prepares confidential correspondence and schedules appointments for the Chief County Assessor.
  • Assists the Chief County Assessor in scheduling job assignments, lunches, and breaks of all non-management employees.
  • Annually adds, changes, or deletes below-surface oils right parcels.
  • Calculates all working, overriding, and royalty interests and maintains files on oil leases.
  • Maintains computerized files for Fraternal Organization Freeze Exemptions and Returning Veterans Exemptions.
  • Determines whether property meets eligibility requirements for agricultural evaluation as determined by the Department of Revenue.
  • Assigns land use classifications and calculates acreage, determining improved/unimproved acreage.
  • Sends directives to drafting department for subsequent creation of maps and plats.
  • Calculates changes of farm ground assessments as required due to property splits, combinations, soil distributions, productivity levels, Forest Reserve re-classifications, and owner requests.
  • Prepares certificates of error due to change in assessments.
  • Approves Forest Plans and reports Forest Plans and Conservation Stewardship programs to the Department of Conservation and Department of Revenue.
  • Maintains time records including sick days and vacations; calculates payroll bi-weekly.
  • Schedules education classes and conducts in-house training courses in the assessment process.
  • Makes hotel, airline, and transportation reservations for employees attending educational functions and visiting instructors.
  • Ensures that front desk is covered.
  • Assists in the preparation of the Chief County Assessment and Board of Review abstracts.
  • Types, files, and orders office supplies.
  • Mails statements for services provided by the office.
  • Provides backup for phone and counter duties.
  • Performs other duties as required or assigned.

Requirements

  • High school diploma or GED.
  • Mid-level experience in office management or administrative support.
