About the position

We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office. The ideal candidate will possess strong leadership skills, a keen eye for detail, and the ability to manage multiple tasks efficiently. This role is essential in maintaining a productive work environment and supporting our team in achieving organizational goals.

Responsibilities

  • Accurately review, process, and manage invoices and payments while maintaining detailed records.
  • Assist with assigning and tracking project costs to appropriate accounts.
  • Work closely with the bookkeeper and accounting department to ensure seamless financial operations.
  • Act as a professional and courteous point of contact for client inquiries and updates.
  • Support the team with cost estimation and procurement of materials.
  • Coordinate the ordering and timely delivery of materials to meet project deadlines.
  • Monitor and replenish office supplies to maintain a productive work environment.
  • Perform general errands and tasks as needed to support company operations.
  • Handle insurance documentation and ensure compliance for projects.
  • Maintain organized digital and physical filing systems for records and documentation.
  • Oversee all office administration tasks, ensuring efficiency and organization.

Requirements

  • Proven experience in administrative roles, preferably in construction or a related industry.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in accounting software and tools (experience with QuickBooks is a plus).
  • Familiarity with supply chain and material ordering processes.
  • Ability to work independently and collaboratively in a dynamic environment.
  • A proactive approach to problem-solving with strong decision-making capabilities.
