About the position

The Office Manager position in the Entertainment/Music Industry is a contract role focused on providing essential administrative support across various departments within the organization. The ideal candidate will thrive in a collaborative environment, ensuring the office operates efficiently while managing multiple tasks and priorities. This role is crucial for maintaining a well-organized office space and facilitating communication and operations among team members and external partners.

Responsibilities

  • Ensuring the office runs in an orderly and efficient fashion
  • Conducting the reception area including greeting guests and managing phone traffic
  • Maintaining the schedule of conference room and conference call availability
  • Ensuring conference rooms are presentable and setting up audio and video for meetings
  • Managing relationships with vendors, building management, and service providers
  • Keeping common areas tidy and the supply room well stocked
  • Planning office social events and managing the budget
  • Coordinating with IT on office equipment matters
  • Assisting with travel arrangements, expense reports, and other administrative tasks
  • Collaborating with HR for smooth onboarding and offboarding of employees

Requirements

  • Working knowledge of Microsoft Office suite (Excel, Word, Outlook, PowerPoint)
  • Excellent verbal and written communication skills
  • Strong organization, problem-solving, analytical, and time management skills
  • Ability to manage and prioritize large volumes of work with competing priorities
  • Highly detail-oriented
  • General work experience within the Entertainment/Music Publishing industry preferred
  • 2-4 years as an office manager, executive assistant, or similar role
  • Completed High School (Diploma or GED)

Nice-to-haves

  • Bachelor's degree or equivalent preferred
