About the position

We are seeking a detail-oriented Office Manager/Executive Assistant/Bookkeeper to join our team. This role is designed for an organized and proactive candidate with a strong management background and knowledge in various bookkeeping tasks. The Office Manager/Executive Assistant will oversee daily operations, ensuring the office runs smoothly and efficiently, while managing administrative tasks and supporting staff to create a positive work environment.

Responsibilities

  • Answer, screen and transfer inbound phone calls
  • Serve as the first point of contact for clients
  • Provide general administrative and clerical support including mailing, scanning, photocopying, and faxing
  • Maintain hard copy filing system and make appropriate updates to TaxDome
  • Retrieve documents from filing system
  • Handle requests for information and data
  • Resolve administrative problems and inquiries
  • Open, sort, and distribute incoming correspondence
  • Maintain the schedules for the accountants and tax preparers
  • Answer client requests
  • Maintain and update client information in TaxDome
  • Collect client payments and process according to office procedures
  • Coordinate maintenance of office equipment
  • Maintain office supply inventories
  • Assist with bookkeeping functions as appropriate
  • Maintain website, edit newsletters and electronically distribute to clients
  • Other duties as assigned

Requirements

  • Bachelor's degree in Business Administration, Management or related field (preferred)
  • Proven experience as an Office Manager or in a similar administrative role
  • Strong organizational and multitasking skills
  • Detail oriented and accurate
  • Excellent verbal and written communication skills
  • Comfortable working in a stressful, fast-paced office environment
  • Pleasant telephone and in person manners, sometimes under stressful conditions
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and practice management software
  • Ability to work independently and as part of a team
  • Strong problem-solving skills
  • Must maintain office ethics and confidentiality
  • Possess and demonstrate honesty, trustworthiness, respect, patience, flexibility, cultural and age sensitivity and a sound work ethic
