About the position

The Office Manager, Executive Assistant to Senior Rabbi is a detail-oriented professional responsible for ensuring the smooth operation of congregational processes. This role supports the Senior Rabbi by organizing meetings, managing administrative tasks, and serving as a welcoming point of contact for congregants and visitors. The position requires a proactive approach to maintaining office supplies and managing communication systems, all while fostering a positive environment within the administrative office.

Responsibilities

  • Support Senior Rabbi in administrative tasks related to congregant life cycle events, communication, and scheduling.
  • Anticipate needs of the clergy based on the Jewish calendar and project timelines.
  • Maintain, procure, and organize office supplies, including printing equipment and informational collateral.
  • Ensure the administrative office is welcoming, aesthetically pleasing, and helpful to the professional team and congregants.
  • Manage Shulcloud congregant database, including updates and lifecycle reminders.
  • Oversee systems of communication, including mail distribution and phone greeting.
  • Order food for gatherings and events, coordinating with caterers and staff.
  • Provide front office presence and perform general administrative work.
  • Serve as the first point of contact for visitors and congregants, providing helpful information and direction.
  • Prepare event supplies and mailings as needed.

Requirements

  • Experience in office management or administrative support roles.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite and Google Workspace, especially Excel and Sheets.
  • Ability to manage multiple tasks and prioritize effectively.
  • Excellent communication and interpersonal skills.

Nice-to-haves

  • Familiarity with Shulcloud or similar congregational management software.
  • Experience in a religious or non-profit organization.

Benefits

  • Salary range of $65,000 - $75,000 depending on experience.
