About the position

Robert Half is actively looking for an experienced Office Manager/ Executive Assistant. The Office Manager/ Executive Assistant plays a critical role in coordinating and maintaining the office, supporting the executives and owners, and ensuring that guest visits run smoothly and to the highest standard. The ideal candidate will possess excellent verbal and written communication skills and the ability to perform multiple tasks within set deadlines. This position is located in the Philadelphia area and is essential for the efficient operation of the office environment. In this role, you will be responsible for greeting and directing guests with professionalism and courtesy, setting up and breaking down conference room meetings, and ordering and stocking office supplies to ensure the office runs smoothly. You will also perform clerical tasks such as filing, copying, and document management, manage calendars and schedules for multiple executives and owners, coordinate and book travel arrangements, and provide direct administrative support to executives and owners. Additionally, you will assist with various administrative projects as needed, contributing to the overall efficiency and effectiveness of the office operations.

Responsibilities

  • Greet and direct guests with professionalism and courtesy.
  • Set up and break down conference room meetings.
  • Order and stock office supplies, ensuring the office runs smoothly.
  • Perform clerical tasks such as filing, copying, and document management.
  • Manage calendars and schedules for multiple executives/owners.
  • Coordinate and book travel arrangements.
  • Provide direct administrative support to executives/owners.
  • Assist with various administrative projects.

Requirements

  • Bachelor's degree or equivalent combination of education.
  • 3+ years of Executive Assistant experience preferred.
  • Experience supporting senior managers or c-suite level executives highly preferred.
  • Excellent Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) skills and knowledge.
  • Experience with databases and in-house publishing software.
  • Good writing, editing, and proofreading skills.
  • Knowledge of efficient office procedures and practices.
