Join our thriving real estate office in the heart of Four Corners! We are seeking a skilled Manager to ensure our operations run smoothly and efficiently. The Office Manager/Executive Assistant will play a crucial role in maintaining a stress-free, organized environment to enhance productivity and employee and sales agent satisfaction. This position involves overseeing hiring, training, and managing employees, including onboarding new agents and staff, while also handling salary calendars, vacation days, and time off. In addition to employee management, the Office Manager will coordinate the front office personnel, ensuring seamless daily operations and support to real estate agents. This role requires close collaboration with the broker to manage and process sales files, facilitate and prepare for meetings, and ensure smooth coordination with title companies, lenders, inspectors, and all other transaction-related parties. The Office Manager will also prepare for and facilitate weekly meetings with the broker and sales agents, ensuring all necessary materials and agendas are ready. The position also includes responsibilities for invoice and subcontractor management, handling subcontractor dealings and processing business invoices efficiently. The Office Manager will manage and update online systems including kvCORE, BrokerMint, online spreadsheets, and checklists, while maintaining internal electronic filing systems. Additionally, the role involves assisting with listing showings, feedback, price reductions, and contract extensions, as well as providing agent support, including training on technology. The Office Manager will support the Property Management Division as needed, coordinate and manage the contact management system effectively, and create and manage social media marketing initiatives while updating, writing, and coordinating new content for our websites.

Responsibilities

Requirements

  • Proven experience as an Office Manager or Front Office Manager, preferably within a real estate or property management office.
  • Demonstrated expertise in office administration, including comprehensive knowledge of systems and procedures.
  • Advanced proficiency in MS Office Suite, with a particular focus on MS Excel, PowerPoint, and MS Outlook.
  • Familiarity with kvCORE, BrokerMint and Canva is a valuable asset.
  • Excellent written and verbal communication skills with a focus on clarity and professionalism.
  • Exceptional time management skills, with the ability to multi-task and prioritize in a fast-paced environment.
  • Strong problem-solving abilities and meticulous attention to detail.
  • A creative mindset with the ability to suggest and implement improvements.
  • Comfort with multiple technology platforms and systems.
