About the position

RELY Services Inc. is a leading global Business Process Outsourcing company that has been delivering business solutions for over 20 years. We are currently seeking an Office Manager and Executive Assistant for the CEO, based out of our corporate office in Schaumburg, Illinois. This full-time position requires a highly organized and self-motivated individual who can provide comprehensive support to the CEO in both personal and professional capacities. The successful candidate will be responsible for effectively coordinating a complex and ever-changing calendar of meetings, travel, and events, ensuring that all logistics are handled with precision and professionalism. In this dynamic role, the Office Manager and Executive Assistant will manage and maintain the executive's schedule, including meeting logistics and travel arrangements, both commercial and private. The individual will also be tasked with opening, sorting, and distributing incoming correspondence, handling highly confidential and non-routine information with discretion. Additionally, the role involves arranging details for conferences and speaking engagements, overseeing shipping and delivery of items, and providing general office support such as printing documents, drafting correspondence, and conducting research. The ideal candidate will possess excellent organizational skills, a strong ability to multitask, and exceptional time management capabilities. They will be proactive in their work ethic, understanding when to seek guidance and when to complete tasks independently. Strong written and verbal communication skills are essential, as the individual will be expected to represent the executive professionally. A valid driver's license and proof of automobile insurance are also required for this position.

Responsibilities

  • Provide comprehensive support to the CEO in both personal and professional capacities.
  • Effectively coordinate a complex and ever-changing calendar of meetings, travel, and events.
  • Manage and maintain the executive's schedule, including meeting logistics and travel arrangements.
  • Open, sort, and distribute incoming correspondence, handling highly confidential and non-routine information.
  • Arrange details for conferences and speaking engagements, including promotional merchandise.
  • Seek estimates, check status, oversee shipping/delivery, and resolve issues for items in home or office.
  • Provide general office support including printing documents, drafting correspondence, research, and data entry.
  • Book and coordinate personal appointments with privacy and discretion.
  • Assist the CEO with project management needs and any arising projects.
  • Help coordinate corporate events and parties, including catering for luncheons, and assist with setup and cleanup.
  • Order supplies, stock, and manage work requests with building management.
  • Run items between home and office including documents, lunch, supplies, and the executive's vehicle.
  • Assist with business and personal technology needs and troubleshooting.
  • Perform any other duties as required or assigned within the scope of this job classification.
  • Develop and maintain relationships in the executive's personal and professional life.

Requirements

  • Bachelor's degree with four years of previous administrative work experience, preferably in a professional setting or fast-paced environment supporting a C-level executive.
  • Excellent organizational skills with a quick turnaround to keep operations flowing smoothly.
  • Skilled multitasker who can manage several tasks at once and adapt to changing requests.
  • Strong time management skills to complete tasks on time and meet deadlines.
  • Excellent written and verbal communication skills to speak and write professionally on behalf of the executive.
  • High level of interpersonal skills to handle sensitive and highly confidential situations with professionalism and confidentiality.
  • Current on technology to support and troubleshoot; must be proficient in MS Word and Excel.
  • Proactive work ethic with the ability to understand when to seek guidance and when to complete tasks independently.
  • Valid driver's license and proof of automobile insurance.
