Editas is seeking an Office Manager to ensure that daily activities run seamlessly while fostering an environment that promotes employee productivity and success. This individual will serve as the primary point of contact and represent our organization, warmly welcoming clients, visitors, and employees. Their diverse range of responsibilities encompasses various key areas, including managing filing systems, scheduling appointments, and maintaining inventory. Handling communication, managing forms of correspondence, and providing direct administrative support, this individual will create and enforce policies that align with the organization's goals and comply with health and safety regulations.

Responsibilities

  • Serve as the primary interface between the company and its service providers, vendors, and consultants.
  • Ensure smooth daily operations of the office environment, making sure employees have a clean and safe office.
  • Coordinate with the Facilities team to manage all ongoing facilities-related issues, including maintenance requests submitted by employees.
  • Manage facility service coordination: snack program management, parking management, facility cleaning management, office supplies, onboarding/offboarding activities, non-lab equipment management, space planning, and office expansion efforts.
  • Troubleshoot any office issues and escalate to the appropriate teams as needed.
  • Develop and manage relationships with catering sites for weekly lunches and events.
  • Maintain an effective file organization for administrative project and office files that is accessible to the team if needed.
  • Ensure office and operations security by maintaining the security access database, file keys, access cards, and office keys.
  • Sort and distribute incoming mail to the appropriate recipients.
  • Event planning and other duties as needed.

Requirements

  • An associate's degree in a relevant discipline, such as business administration, is preferred; however, a high school diploma or GED combined with 2 to 5 years of experience in administrative positions is sufficient.
  • Previous experience in a similar role with familiarity of all aspects of general office administration.
  • Proficiency in Windows operating systems, Outlook, Word, Excel, and general office equipment.
  • Ability to multitask with several priorities and maintain a high standard of discretion and confidentiality.
  • Excellent communication and interpersonal skills.
  • Proactive and able to work well independently within a fast-paced environment where schedules sometimes change.
  • Awareness of local Health and Safety standards and best practices.
  • Ability to lift 55lbs.
