About the position

The Office Manager for the Department of Fine & Performing Arts at Northwest Missouri State University is responsible for overseeing office management and customer service functions. This role involves coordinating tasks among staff, managing budgets, and providing support to faculty and students within the department.

Responsibilities

  • Manage office operations for three academic programs within Fine & Performing Arts
  • Serve as a contact point & provide customer service in the department office for students and visitors
  • Answer calls & emails and provide basic information about the department
  • Track, maintain & reconcile the department/program budgets
  • Reconcile multiple VISA accounts every month
  • Assist department chair & program coordinators with course and classroom schedules
  • Process University paperwork including direct pay vouchers, travel vouchers, purchase requisitions, etc.
  • Process department load credit reports in timely manner to meet the dean's deadline
  • Maintain confidential records and files
  • Receive, sort, and distribute mail
  • Schedule building rooms/events in ASTRA
  • Assist faculty student supervisors in posting student job openings/sending notices through NeoGov/hiring through EPAFs
  • Supervise student employee
  • Approve student timesheets using WebTime Entry after the faculty supervisor acknowledges the timesheet
  • Provide basic technical office equipment (printers) assistance to faculty
  • Assist department program, offices, and deans, as needed
  • Submit work orders for the Fine Arts & Fire Arts buildings, along with vehicle reservations
  • Perform other duties as assigned

Requirements

  • High school diploma
  • Computer experience in Microsoft Office, including Word, Excel, and Teams
  • Experience in budgets, financial information, and spreadsheets
  • At least one year of experience working in an office environment
  • Accuracy in spelling and grammar
  • Good customer service skills
  • Good communication skills
  • Good organizational skills
  • Ability to multi-task and delegate work
