About the position

As an Office Manager / HR Assistant at GTreasury, you will play a vital role in ensuring the smooth operation of our office environment while providing essential HR support. This part-time position requires approximately 20 hours of work per week, where you will be responsible for a variety of administrative tasks that contribute to the overall efficiency of the office. Your primary duties will include managing the front desk, greeting employees and guests, and handling inquiries through the general inquiry line. You will also provide support to various internal teams, including Executive Management and Human Resources, ensuring that all office operations run seamlessly. In addition to administrative support, you will be tasked with facilities management, which includes ordering supplies, maintaining office equipment, and ensuring that the office environment remains organized and welcoming. You will oversee daily mail operations, manage visitor access, and coordinate special events by negotiating with vendors and catering services. Your role will also involve assisting with the onboarding process for new employees, maintaining HRIS databases, and ensuring compliance with HR-related documentation. Responsibilities

  • Manage the front desk by greeting employees and guests.
  • Answer general inquiry line and route calls accordingly; handle basic inquiries and forward on to appropriate departments and leadership.
  • Provide support to various internal teams including Executive Management and Human Resources.
  • Negotiate favorable terms and pricing agreements with hotels, vendors, caterers, and other providers for service for special events.
  • Order, set up, and clean up catered lunches for Executive and Team events in the office.
  • Ensure accuracy of visitor guide and make updates accordingly.
  • Manage daily office mail operations including sorting and distributing incoming mail and timely shipping of outgoing mail through various carriers such as FedEx and USPS.
  • Ship marketing materials from the office to venues for conferences and events.
  • Order business cards for employees as needed.
  • Responsible for office management related tasks including ordering supplies and snacks, maintaining equipment, filing, photocopying, and maintaining an orderly office environment.
  • Weekly restocking supply room of supplies and 'kitchens' of snacks.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Complete security reviews and audits of building access (C-Cure system).
  • Coordinate the pickup of shred bins.
  • Assist with the new employee onboarding process by entering new employees in the HRIS system and ensure all necessary documentation is completed.
  • Assist in the preparation of HR-related reporting.
  • Maintain HRIS database to ensure data accuracy.
  • Maintain employee files and records, ensuring compliance.
  • Assist with additional HR-related projects.

Requirements

  • 1-3 years of Office Management or Assistant Experience required.
  • Familiarity with office management and executive level support.
  • Must be able to maintain a high level of confidentiality.
  • Must have strong problem-solving skills and critical thinking skills.
  • Excellent organizational skills.
  • Excellent verbal and written communication skills - ability to interface at multiple organizational levels.
  • Associate or bachelor's degree preferred, or equivalent experience.
