About the position

The Office Manager for Internal Medicine at the University of Illinois College of Medicine Peoria will provide specialized administrative support to the department, particularly focusing on the Infectious Disease Section. This role involves coordinating educational programs, managing departmental activities, and ensuring compliance with CME regulations. The position requires a strong understanding of departmental policies and the ability to exercise discretion in handling sensitive information.

Responsibilities

  • Coordinate information for the development of faculty promotion packets, including CVs and faculty publications.
  • Assist with obtaining evaluations of faculty lectures and track research activities for promotion reviews.
  • Arrange Department meetings for the Promotion and Tenure Committee, including gathering ballots and taking minutes.
  • Coordinate logistical arrangements for CME activities, including drafting proposals and maintaining confidential records.
  • Track and record expenses for the Grand Rounds budget and advise the CME Activity Director on remaining funds.
  • Assist in creating drafts of specialized announcements and distribute Grand Rounds Evaluations.
  • Manage Microsoft Teams participation during weekly Grand Rounds sessions, including creating links and managing audience interactions.
  • Serve as AV support to presenters during Grand Rounds and manage attendance processes.
  • Review incoming mail for the CME Activity Director and respond to relevant items.
  • Assist with the promotion and tenure process by distributing and submitting Peer evaluations.

Requirements

  • High school diploma or equivalent.
  • Two years of work experience comparable to the third level of this series.

Nice-to-haves

  • Experience in transcription relating to the medical field is preferred.
  • Working knowledge of Microsoft Office Software.
