About the position

We are seeking an experienced Office Manager/Insurance Claims Specialist who can also act as a Personal Assistant. This dynamic role requires someone adaptable, organized, and capable of handling both routine office tasks and more complex administrative responsibilities. The ideal candidate will be able to manage a variety of tasks, from office management to personal assistance, ensuring smooth operations in a fast-paced environment.

Responsibilities

  • Answer incoming calls and manage related tasks, including checking insurance benefits for new patients and scheduling appointments.
  • Make outbound calls to insurance companies to verify patient benefits, address unpaid claims, and confirm appointments.
  • Manage personal tasks, such as scheduling personal appointments.
  • Accurately enter insurance and patient payments into the EMR system.
  • Maintain organized office files and documentation, ensuring all records are current and properly filed.
  • Process payroll for contracted employees.
  • Collaborate with team members to improve administrative efficiency and workflow.
  • Handle inquiries related to accounts payable and receivable.
  • Provide support to the owner and contracted staff with any tasks or projects as needed.
  • Perform other general administrative duties as required.

Requirements

  • Proven experience in bookkeeping or a similar role, ideally in a medical office setting.
  • Strong organizational skills with high attention to detail.
  • Proficiency in accounting software, Microsoft Office (Excel, Word), Google Drive, Docs, Sheets.
  • Must have expertise in insurance billing and claims management, including appeals.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Office management or administrative support experience is essential.
  • Strong problem-solving abilities and a capacity to manage multiple tasks effectively.
  • Knowledge of EMR systems is required.
  • Willingness to assist with personal and office-related tasks, including caring for an office puppy, scheduling personal appointments, and taking over company bookkeeping.
  • Must be a quick learner, detail-oriented (especially with financial matters), and have strong follow-through on assigned tasks.
  • Flexibility and a willingness to tackle a range of tasks are essential.
