About the position

Speaks Law Firm is seeking a highly motivated and organized Office Manager to support its growing team in Charlotte, NC. This full-time position involves overseeing office operations, managing staff, and ensuring effective communication with clients and vendors. The ideal candidate will have experience in personal injury law and possess strong organizational and analytical skills.

Responsibilities

  • Onsite staff management, serving as the primary point of contact for all Charlotte-based staff and vendors.
  • Provide consistent support and timely resolution of day-to-day staff and administrative issues.
  • Maintain office equipment, supplies, and facilities, including regular check-ins with lease and cleaning personnel.
  • Conduct regular safety checks and ensure all hazards and deficiencies are addressed promptly.
  • Maintain effective communication with attorneys, clients, insurance adjusters, and other professionals.
  • Conduct routine client contact regarding case updates, treatment, and coverage investigations.
  • Assist with legal research and case preparation, maintaining updated lien and balance information.
  • Communicate with insurance and health adjusters regarding demand packages, policies, liens, and payment logs.
  • Complete systematic file review of demand packages.

Requirements

  • Minimum of two (2) years of office or case management experience in a personal injury law firm.
  • Associate's degree or higher preferred.
  • Paralegal Certificate is a plus.
  • Strong organizational skills and attention to detail.
  • Intermediate to advanced computer skills.
  • Strong analytical and problem-solving skills.
  • Ability to effectively communicate and collaborate with senior leaders, clients, and staff.
  • Understanding of legal language and principles, and related processes.
  • Experience with Needles/Neos case management software is a plus.
