About the position

The Office Manager at Garcia Construction is a multifaceted role that encompasses accounting, human resources, and front desk responsibilities. This position is integral to supporting the administrative functions of the Garcia Companies, requiring a detail-oriented and organized individual who can manage various tasks efficiently while providing excellent customer service.

Responsibilities

  • Process accounts payable and receivable, ensuring timely and accurate entries.
  • Assist with payroll processing, including data entry and verification of employee hours.
  • Prepare and execute weekly/monthly payment runs, including checks and electronic payments.
  • Assist in reconciling vendor and credit card statements and resolving discrepancies.
  • Maintain accurate vendor records, certificates of insurance, and tax documents.
  • Support month-end closing processes by preparing accounts payable reports and reconciliations.
  • Respond to vendor inquiries and provide exceptional customer service.
  • Assist with audits by providing necessary documentation and information.
  • Collaborate with other departments to streamline the accounts payable process.
  • Assist with recruitment processes, including posting job openings, screening resumes, and scheduling interviews.
  • Maintain employee records and ensure compliance with HR policies.
  • Own the onboarding processes for new hires.
  • Help coordinate employee benefits and assist with related inquiries.
  • Participate in employee engagement initiatives and maintain positive workplace culture.
  • Greet visitors and clients in a friendly and professional manner at the front desk.
  • Answer and direct phone calls, take messages, and respond to inquiries.
  • Manage scheduling of conference rooms and appointments.
  • Handle incoming and outgoing mail and packages.
  • Maintain the front desk area and all common spaces, ensuring it is tidy and welcoming.

Requirements

  • High school diploma or equivalent; a degree in accounting, finance, or HR is preferred.
  • Previous experience in accounting, HR, or front desk roles is a plus.
  • Proficient in MS Office Suite (Excel, Word, Outlook) and accounting software (e.g., QuickBooks, Appfolio, Sage, Yardi, etc.).
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal and communication skills.
  • Ability to handle confidential information with integrity.
  • Ability to remain calm and professional in high-stress situations.
