About the position

The Office Manager will report directly to the Executive Director and is responsible for coordinating all office administrative functions to ensure high productivity within the organization. This part-time role involves overseeing day-to-day operations of the Center, ensuring data accuracy, compliance with contract deliverables, and supporting Medicaid billing processes. The position offers flexibility with a hybrid work model, allowing for some remote work while requiring 20 hours of work per week.

Responsibilities

  • Provide administrative support for the Center and center staff by managing overall day-to-day operations.
  • Provide data accuracy and contract compliance support by regularly pulling reports from RecoveryLink to review data quality.
  • Provide Medicaid billing support by compiling Medicaid reimbursement reports, ensuring they meet Medicaid billing standards, and submitting them monthly.
  • Assist with the process of NH RCO Standards of Excellence Review, including gathering required documentation and assisting with preparation and facilitation of reviews.
  • Assist the executive director in writing quarterly and annual reports.
  • Provide reasonable additional support for center staff as needed.

Requirements

  • Previous relevant administrative experience required.
  • Relevant knowledge of compliance and handling sensitive and personal data; preference for candidates with knowledge of HIPAA and 42 CFR Part 2.
  • Demonstrable knowledge of strong organizational, administration, and communication skills (both verbal and written).
  • Proficiency with MS Office Suite, especially MS Excel.
  • Ability to handle sensitive information confidentially and provide strong customer service.
  • Ability to work independently with minimal supervision.
  • Analytical and critical thinking skills to solve day-to-day operational problems.
  • Ability to multi-task and prioritize projects in a fast-paced not-for-profit work environment.
